Solven · Institute of AI
Terms & Conditions
Last updated 20 October 2026 · Version 1.0
These terms govern the use of Solven, the HR platform operated by the Institute of AI ("we", "us"). Please read them carefully: by subscribing to Solven or using it, you agree to them.
1. Who these terms apply to
These terms are an agreement between the Institute of AI and the organisation that subscribes to Solven ("the Company").
They also apply to everyone who uses Solven through the Company — its company admin, managers, HR staff and employees ("users"). Each user must follow these terms and the Company's own rules.
2. Accounts and access
- The Company appoints a company admin, who manages the Company's account, its users and their roles.
- Users are invited by the Company. Each person belongs to one company only.
- Keep your password private and use two-step verification when Solven asks for it. Tell your company admin straight away if you think someone else has used your account.
- The Company is responsible for the accuracy of the information it enters and for removing access when someone leaves.
3. The service
Solven provides the modules the Company subscribes to, such as staff records, attendance, leave, payroll, field work, chat, HR services, performance and training. We may improve, change or add features over time; we will not remove a core feature the Company is paying for during a paid period without telling it first.
We aim to keep Solven available at all times, but there may be interruptions for maintenance, updates or reasons outside our control.
4. The Company's decisions and the law
Solven is a tool. Employment decisions — hiring, pay, leave, warnings, terminations and appraisals — remain the Company's own decisions and responsibility.
Templates, calculations and rules in Solven (for example contracts, warnings, leave entitlements, overtime, social security and income tax) follow Jordan's Labour Law and related rules as commonly applied. They are not legal, tax or financial advice. The Company must check them against the current law and its own situation, and have important documents reviewed by a qualified adviser.
5. Using Solven properly
- Use Solven only for legitimate work purposes and in line with the law.
- Do not try to see or change information you are not allowed to see, or get around Solven's security or limits.
- Do not upload unlawful, offensive or harmful content, malware, or files you have no right to share.
- Do not copy, resell, reverse-engineer or test the security of Solven without our written permission.
6. Fees and payment
- The monthly price depends on the number of active staff and the number of modules subscribed to, with a discount for more modules. A minimum of 50 staff is charged; above 50, every active staff member is counted. The price in force is shown on the Billing page.
- Invoices are issued for each billing period and are due within 14 days. When paying by bank transfer, the Company uploads proof of the transfer; we confirm it once checked.
- Prices exclude any taxes that apply, which are added where required.
- If an invoice remains unpaid after a reminder, we may freeze the Company's account until it is paid. Data is not deleted because of a frozen account.
7. Data and confidentiality
The Company owns the data it and its users put into Solven. For its staff's personal data, the Company is the controller and we process it on the Company's behalf and instructions, only to provide Solven. Our Privacy Policy explains how personal data is handled.
We keep the Company's data confidential and protect it with appropriate security measures. Each company's data is kept separate from every other company's.
The Company can export its data, and receives regular backups if it sets them up. After the subscription ends, we delete the Company's data when it asks us to, or within a reasonable time, unless the law requires us to keep it.
8. Intellectual property
Solven, its software, design and name belong to the Institute of AI. While the subscription is active, the Company and its users may use Solven for the Company's internal purposes. If you send us suggestions, we may use them to improve Solven.
9. Ending or suspending the service
The Company may stop its subscription at any time; it continues until the end of the period already paid. We may suspend or end access for non-payment or a serious breach of these terms, normally after giving notice and a chance to put it right.
10. Liability
To the extent the law allows, Solven is provided "as is". We are not liable for indirect or consequential losses, such as lost profits or business, or for decisions the Company makes using Solven. Our total liability in any year is limited to the fees the Company paid in the 12 months before the claim. Nothing in these terms limits liability that cannot be limited under Jordanian law.
11. Changes to these terms
We may update these terms. We will tell the company admin in Solven before important changes take effect. Continuing to use Solven after that means the changes are accepted.
12. Governing law
These terms are governed by the laws of the Hashemite Kingdom of Jordan. The courts of Amman have jurisdiction over any dispute.
